Student settings

The rules for your students' accounts: what each one edits on their profile, the document type, free sign-up, the name in support and custom fields.

Student settings set the rules for your students' accounts. For example: whether a student can change their own email, or whether a person can create an account for free. This screen does not give access to any product; that is the enrollment (Enrollments and access).

How it works

The screen is in Settings → Students. It has up to four tabs:

TabWhat it sets
ProfileWhat students can edit on their own profile, the account's document type and which details the profile shows
Free registrationWhere someone can create an account for free, the delivery they get and the rules to complete the sign-up
SupportWhether the student's name shows in full or shortened in the comments, questions and tickets inboxes
Custom fieldsThe extra fields the student fills in on their profile

The first three tabs (Profile, Free registration and Support) are one form. Change what you want on them. Then click Save now once, in the bar that appears at the bottom.

The Custom fields tab is different: each field you create, edit or delete is saved right away. It only appears on accounts where Cademí turned this feature on.

Profile

The profile is the student area page where students see and edit their own details. It shows the name, email, document, phone, address, the account's custom fields and the Change password button. Each field is saved as soon as the student leaves it.

What the student can edit

Editing permissions says what students can change on their own. A locked field stays visible. It just cannot be edited.

  • Allow editing name and document. Off, the student sees their name and document but cannot change them. If the tickets channel is on in Settings → Support, the profile shows the Request Name and/or Document change button. This button opens a ticket for your team.
  • Allow editing email. Off, the email is read only. The email is the student's login. So many accounts prefer that only the team changes it.

The document type

Student's document sets what the document field is on your account. It applies across the platform: on the profile, on sign-up, in the student list, on the certificate and on login, when the account signs in by document.

Document typeWhen to use it
CPF or CNPJThe default. Accepts both Brazilian tax IDs (individual and company), each with the right mask
CPFIndividuals only
CNPJCompanies only
Document, no maskStudents outside Brazil (DNI, passport, national ID). Keeps only letters (in uppercase) and numbers, up to 30 characters, without checking the format

With Document, no mask, the Document name field appears. It is the label the student and your team see instead of "Document". For example: "DNI" or "Passport". Need another document format, with its own validation? Contact Cademí support.

What the profile shows

Field visibility chooses what the profile shows: Show document, Show address and Show phone number.

  • Off, the block disappears from the student's profile.
  • With Show phone number off, the Phone field also leaves the free sign-up form on the login page.
  • The phone, when shown, stays editable. This is true even with name and document editing locked.

Free registration

Free sign-up creates a student without a purchase. Whoever signs up this way gets the free sign-up mark. The mark shows on the student's profile in the dashboard and works as a filter in the student list (Students).

The mark says how the person arrived. It stays after a purchase, until an administrator clears it on the student.

Sign-up channels

There are two channels. Each has its own switch, and one does not depend on the other.

Allow sign-up on the login page shows the Create your account option on the access screens.

  • The form asks for Full name, Email and Phone. If you require it, it also asks for the document.
  • The form ends with Create my account.
  • The student does not choose a password. The password follows the account's rule and goes by email.
  • This is also the only way a Google sign-in creates a new student (Authentication).

Allow sign-up via a form on an external site accepts sign-ups from a form on your own page.

  1. Turn on Allow sign-up via a form on an external site.
  2. Click Generate form code. The Form code window opens.
  3. Copy the code.
  4. Paste the code on your site.

Your site now shows a sign-up form with name, email and phone. The form button comes in the color of your access screens. Whoever signs up through it goes straight into the student area, without the login screen. The person sees their password on screen for a few moments and also receives it by email.

The free sign-up delivery

With either channel on, Delivery granted after registration appears. Choose the delivery every free sign-up student can open. Or choose None to create the account without granting content. Create beforehand a delivery with the products and access time you want to give for free (Deliveries).

The most important rule: this access comes from the setting. It is not stored on each student. If you change or clear the delivery, what every free sign-up student can open changes right away.

Attention: this is where most mistakes happen. Ana signed up for free and got the welcome course. Months later, you change the delivery to another one, without that course. Result: Ana loses the welcome course and sees the new delivery. This applies to everyone who signed up with the previous delivery. To stop receiving new sign-ups without removing content from those already in, turn off the channels and do not touch the delivery.

The student receives the Free access welcome email, with their login and password, if that email is turned on in Emails. When the account reaches the plan's student limit, a new sign-up is refused.

The same switch, Allow sign-up via a form on an external site, also turns on sign-up by link. The link is an address on your account that creates the student with the details it carries.

  • The ready-made form, from Generate form code, sends the person through this link.
  • You can also build the link by hand. For example: for a button, an email or the thank-you page of another tool.

The link starts with your account's address, the same one as your access screens. The details come after the ?, separated by &:

https://youraccount.example.com/auth/cadastrar_via_url?nome=Maria%20Souza&email=maria@example.com&celular=11999990000

Write %20 in place of each space. The details the link accepts:

In the linkWhat it fills in
nome (or name)The student's name. Required
email (or mail)The email, which is the login. Required. It must be valid
celular (or phone, whatsapp)The phone number
docThe document, in the type set on the Profile tab
redirect (or r)The page the student goes to after signing up. It is a path on your account starting with /. Without it, the student lands on the student area home page
utm_source, utm_medium, utm_campaign, utm_content, utm_term, gclid, fbclidThe campaign that brought the student. It shows under Source, on the student's page in the dashboard
nome_empresa, cargo, tamanho_empresaThe student's company name, job title and company size

What happens when someone opens the link:

  • New email: Cademí creates the student's account with the free sign-up mark. They go straight into the student area, already signed in, and see their password on screen for a few moments. The password is also sent by email, as in the other channels.
  • Email already registered on the account: Cademí does not create a new account. The student goes to the login screen, with the email filled in, and signs in with the password they already have.

The link gives the student, at most, the delivery chosen in Delivery granted after registration, like any free sign-up. With None, they get in with no content granted. A paid product only reaches a student through a sale, an import or an enrollment made by your team (Enrollments and access).

Sign-up rules

  • Require CPF or CNPJ at signup (the label follows the account's document type). The student must enter a valid document. The document cannot be in use by another student outside the trash. Sign-up through Google does not ask for a document.
  • Restrict email domains allows sign-up only for emails from the Authorized domains. It suits, for example, a corporate academy. The rule also applies to new students who sign in with Google. With the restriction on, the list needs at least one domain.

To add a domain, type it and press Enter, comma or semicolon. If you paste a list, all the domains go in at once.

Attention: the domain restriction and the required document only apply to the sign-up on the login page. For domains, they also apply to a new student who signs in with Google. The external site form, purchases, imports and students created by hand by your team do not go through them.

The two channels, from the sign-up request to the granted content:

Carregando diagrama…

The sign-up rules (bot protection, domains and document) only block the login page channel. On both channels, the student gets the same delivery from the setting.

Personalization

Turn on Highlight free sign-up students with an icon in the list to mark those who signed up for free. The icon shows next to the name, in Students → Students. In Marker icon, choose Gift, Sparkle or Tag. The student does not see the mark.

If almost your whole base signed up for free, leave the highlight off. Otherwise, the icon shows on every row.

Support

Student name sets how students appear to your team. It applies in the comments, questions and tickets inboxes, and in the support report. In Displayed name, choose Full name or Shortened. Shortened, "Maria Souza" shows as "Maria S.". It is a single choice that applies to all three channels at once.

Custom fields

Custom fields hold details the platform does not ask for by default. For example: company, class, date of birth or an external enrollment code. Each student has their own value in each field.

Where the fields appear:

  • on the student's profile in the student area, in the Additional information block. There, the student fills it in;
  • on the student's page in the dashboard, in the Custom fields card on the Overview tab. There, your team edits it (Student profile);
  • in the Edit student panel, in the student list. There, your team edits it too;
  • on the certificate, which can print a field's value (Certificates).

Create a field

  1. Open Settings → Students → Custom fields.
  2. Click New field.
  3. In Title, write the field name as the student will read it. For example: "Date of birth".
  4. In Type, choose Text, Number or Date.
  5. Click Save.

The type sets the field the student fills in: free text, numbers only or a date picker. The new field appears on every student's profile, empty, until each one fills it in.

To edit a field, click its row. To delete it, click the trash icon and confirm in Delete custom field.

Good to know

A field's type cannot change once used.

If any student has already filled in a value, the screen refuses the type change. Create another field with the right type.

Deleting a field hides the values.

The data students already filled in is no longer shown. The field disappears from the student's profile and from the dashboard.

Changing the document type does not rewrite what is stored.

Stored documents stay the same. They are shown with the new type's formatting. The label, mask and validation change for the next ones.

The sign-up channels work differently.

Sign-up on the login page goes through bot protection, the domain restriction and the required document. Afterwards, the student signs in with the password from the email. The external site form skips those rules and signs the student in right away.

Google sign-in does not send the free welcome email.

Whoever signs in with Google for the first time is registered without receiving a password by email. They sign in with their Google account.

Bot protection is on another screen.

To require a reCAPTCHA on the login page sign-up, see the Bot protection tab in Authentication.

Frequently asked questions

I want to give a free course to capture leads. What do I turn on?

Create a delivery with the free product. Turn on Allow sign-up on the login page (or the external form). In Delivery granted after registration, choose that delivery. There is no need to enroll each lead: access follows the setting.

I want to close free sign-up but keep those already in. How?

Turn off both channels. Do not touch Delivery granted after registration. If you clear the delivery, every free sign-up student loses that content.

A student bought and is still marked as free sign-up. Is that a mistake?

No. The mark says how they arrived, and a purchase does not clear it on its own. If you want, an administrator turns off Free registration in the Edit student panel, in the student list.

Why can't the student change their own email?

Check whether Allow editing email is on in the Profile tab. Off, only your team changes the email, through the student's page in the dashboard.
