Emails

The four emails the platform sends to students (purchase, import, free access and new access): look, sender, message and preview.

The platform emails the student at four moments: on a purchase, on an import, on a free sign-up and on a new access. In Settings → Emails you set the look of those emails, the sender and the message of each one. You do not change the address the emails are sent from: it belongs to Cademí.

The idea in one minute

The screen has two parts:

  • The look, at the top, applies to every email: colors, logo and sender. The Email appearance strip shows a summary, and Customize opens the panel to edit it.
  • The four emails, below, have one block each. In each block you turn sending on or off, write your message and choose the one-click sign-in button.

Each block shows the state of the email: On or Off, and Default, Edited or Fixed. The block's Customize button opens the panel of that email.

The four emails

EmailWhen it is sentWho receives it
Purchase welcomeAs soon as a purchase payment is approved and access is grantedThe buyer. Also a student created by hand by an administrator who chose to send the access
Import welcomeWhen registering students by spreadsheet import (Student import)Each imported student
Free access welcomeWhen a student signs up for free contentWhoever signs up on the sign-up screen or through an external form
New access noticeWhen access is added to a student who already has an accountThe existing student who received another delivery

The three welcome emails carry the platform address, the student's login (email or document) and the password. The New access notice lists what was granted and does not repeat the password.

Heads up: this is where most mistakes happen. Carla does not want to welcome buyers, so she turns off Purchase welcome. Later, an existing student receives a new delivery and gets no email. The reason: with the purchase email off, the New access notice is not sent either. To skip the welcome for imported students, turn off only the import one.

What the student receives

A welcome email has these parts, in this order:

  1. The greeting with the student's first name.
  2. Your message. Without a message from you, the default text goes.
  3. The platform address.
  4. The access details.
  5. The one-click sign-in button, if it is on.
  6. The support line, with your Reply-to email.
  7. The Signature.

The subject is "Your Access Details".

Your message is plain text, with line breaks. Name, login and password are added on their own, outside the message. You do not need to (and cannot) put them in the text.

Look and sender

The Email appearance panel applies to every email the platform sends.

  • Colors: Page background, Content background, Text, Footer and Link. The Light theme and Dark theme buttons fill all five colors at once. With them, the link color is the student area's accent color. After that, adjust each color as you like.
  • Logo: JPG or PNG, up to 200 KB. In Logo height, enter the height in pixels.
  • Sender: three fields.
    • Sender name: the name shown as who sent the email. Left blank, it reads "Cademí".
    • Reply-to email: the address that receives the students' replies. It also shows in the email's support line. Left blank, the platform uses the account's email. With no account email, it uses the first administrator's. The field shows which one applies.
    • Signature: the text at the end of every email.

The address the emails are sent from belongs to Cademí and does not change. That is how Cademí ensures access emails are delivered, with 99.7% of sends delivered. What is yours is the sender name and the address that receives the replies.

Each email's panel

Customize, on an email's block, opens its panel:

  • Send this email: Enable or Disable. When disabled, nobody receives this email. The change applies to future sends; an email already delivered does not come back.
  • Your message: the text that opens the email, in place of the default.
    • Back to the default text clears the field.
    • Start from the default copies the default text for you to edit.
    • On Import welcome, Use the migration message adds a ready text. It says the access is being migrated from another platform.
  • One-click sign-in button: adds a button that logs the student in, with no password to type. When it is off, the student logs in with the login and password from the email itself.
  • Preview: the real email, with your message, changing as you type. Nothing is sent or saved until you save.

Save changes saves only the open email. Discard goes back to what was saved. A block with unsaved changes shows Not saved.

The New access notice is different. Its text cannot be edited and it has no preview, because it depends on the access that was just granted. On it, you only turn sending and the one-click button on and off. The block shows Fixed.

Step by step

To customize the welcome email, adjust the look and then the message.

The look

  1. In the dashboard, open Settings → Emails.
  2. On the Email appearance strip, click Customize.
  3. Click Light theme or Dark theme.
  4. Adjust the colors, if you want.
  5. Upload the Logo.
  6. Fill in Sender name, Reply-to email and Signature.
  7. Click Save.

The message

  1. On the Purchase welcome block, click Customize.
  2. In Your message, write the text. Or click Start from the default and edit it.
  3. Check the result in the Preview.
  4. Check Send this email and One-click sign-in button.
  5. Click Save changes.

To have different messages in the other emails, repeat on each email's block.

Good to know

Turning off "Purchase welcome" also silences the "New access notice".

The new access notice is not sent while the purchase email is disabled. To welcome buyers but not imported students, turn off only the import one.

Google login does not send the free email.

A student who logs in with Google for the first time is registered without receiving the free access welcome email.

Cademí may limit the account's sends.

The number of emails the account sends per month may be capped. If emails stop arriving for every student, contact support.

Email that did not arrive.

A wrong address or a full mailbox bounces the email. That address goes into the Invalid emails list. Look there before you resend.

The access details always go in the email.

With or without your message, with or without the one-click button, the welcome email carries the login and password. The button only saves the student from typing them.

Frequently asked questions

Can I send the emails from my own address?

Sending goes out from a Cademí address. You set the Sender name and the Reply-to email. The student sees your name and, when replying, the reply lands in your address.

How do I test the email before sending it to a student?

Use the Preview in the email's panel. It shows the real email with your current message, colors and logo. To receive a sample in your inbox, create a test student with your email and send them the access.

I wrote the message and the student got the default text.

Check that you clicked Save changes in the right email's panel. Each of the four has its own message. The block shows Edited when there is saved text.

The student says they did not get the email.

Check whether the address is in Invalid emails. Check whether that email is On. And check whether the student is looking for the sender name you set.

An existing student received a delivery and got no notice.

Check that Purchase welcome is on. When it is off, it also turns off the New access notice.
