Student profile

The tabs of a student's profile, the sidebar actions, what the logs record and the difference between Log in as the student and Access as student.

The profile is a student's page in the dashboard. It shows the record, what the student can access and what they have done. From here you also act on them. To open it, click the student in Students → Students.

The most important rule: Log in as the student means acting as them, for real. A lesson you open there becomes complete for them. To only look at the area, use Access as student. The difference is at the end of this page.

How the page is organized

The page has two parts:

  • The sidebar, on the left. It stays the same on every tab.
  • The tabs, with the content.

The sidebar

The student's data

At the top of the sidebar are:

  • the photo. Click it to Change photo;
  • the name, the email and the document;
  • the phone. It opens a WhatsApp conversation;
  • the student's marks: Free registration, when they arrived for free, and their tags.

Expanding the details shows:

  • the Source: how the record came in. If any, also the campaign that brought the student, such as utm_source and utm_campaign;
  • the Tags, with the Manage button;
  • a timeline with Last access, First access and Registered at;
  • the Auto login link. It is an address that enters the student area without a password. You copy it and send it to the student.

Edit the student

Edit profile opens the Edit student form. In it you change:

  • Name, Email, document and Phone;
  • Profile photo;
  • the Free registration mark;
  • three permissions in the support channels: Comments, Questions and Support.

If you turn a permission off, that channel disappears for this student only. Access and progress continue. The form also has the Delete button, which moves the student to the trash.

The actions

The Actions block of the sidebar gathers:

The Support block shows how many Comments, Questions and Support tickets the student has. It shows only the channels the account keeps on, and leads to each one.

The Purchases and Products tabs are explained in Enrollments and access.

Notes

Notes are internal comments about the student, for your team. The student area never shows notes. Whoever wrote a note can edit or delete it. Another administrator can only read it.

Exams, certificates and points

  • Remove result erases that exam result. The exam lesson goes back to not watched and the approval points are taken away. The student can retake the exam. A certificate already issued stays valid.
  • Delete issuance takes the certificate away from the student. The validation link stops working. The number printed on the certificate is not used again.
  • Add Points asks for a Description and the number of Points. A negative value takes points away. The entry shows up in the ranking right away and in the student's statement, with its reason.
  • Only entries made by hand can be deleted. Points earned from lessons, exams and certificates cannot.

Logs

The Logs tab keeps what happened to the student's account, from newest to oldest. Each event carries the IP address and the device. Some events that get recorded:

  • sign-in by password, through Google or by access link;
  • first access to the platform;
  • new device registered;
  • device removed because the device limit was exceeded;
  • password recovery requested;
  • password changed by an administrator;
  • access resent by an administrator;
  • terms agreed to;
  • certificate issued;
  • progress reset;
  • points adjusted;
  • "an administrator signed in to the account".

The profile has no list of devices or open sessions. What you see about devices are these events in the logs. The device limit per student lives in Settings → Security → Authentication → Devices.

The report for one product

In the Products tab, click a product's progress or View performance. The Progress report opens for this student in that product. It shows:

  • Current progress, Lessons completed, Points earned, Exams taken and Days with activity;
  • the Progress over time;
  • the Lessons completed per period;
  • the Period comparison;
  • the Timeline of everything they did in the content.

You can switch products without leaving the page.

Log in as the student and Access as student

They are two different things. Mixing them up is costly.

Log in as the student (in the profile)Access as student (in the dashboard menu)
Who you becomeThe real student. You stay signed in as an administrator behind themA preview student, the same for every administrator of the account
What you seeThat student's access, release schedule and blocks. All as they see themThe whole catalog, as lifetime. Without anyone's enrollments or rules
Lessons and examsBecome complete for that studentAre kept only in the preview
Points, certificates and termsReal, for that studentNo points, no real certificate, no acceptance
RecordIn the student's log ("an administrator signed in to the account") and in your administrator historyOnly in your history
  • Use Log in as the student to see the screen they are seeing. Everything you do there counts as their action. An opened lesson becomes complete. An answered exam becomes a result. An issued certificate is real.
  • Use Access as student to walk through the area and check a module or a text, without touching anyone.

Heads up: the acceptance terms change from one mode to the other. Access as student skips the terms screen. Log in as the student shows the terms the student has not accepted yet. If you accept there, the acceptance is recorded in their name.

Good to know

When a student forgets their password.

Resend welcome email and Change password replace the student's password. If they only forgot it, the sign-in screen has a forgot-password link. They get a link, and the current password keeps working until they finish.

Handle the login link with care.

The Auto login link signs in without a password. Send the link only to the student, through a channel that belongs to them.

Optional cards.

The Custom fields and Tracking cards only show up when the account uses those features.

Per-student permissions.

The comments, questions and support permissions in the form apply to this student only. To turn a channel off for the whole account, use Settings → Support.

Frequently asked questions

I logged in as the student to test, and a lesson became complete for them. Why?

Log in as the student acts as the real student. To look without touching anyone, use Access as student.

Where do I see the student's devices?

The profile does not list devices. See the device events in the Logs tab.

Can another administrator change my note?

No. Only whoever wrote the note can edit or delete it. Others can only read it.
