Billing

Your platform's agreement, billing details, plan, cards and invoices. And what to do when the platform shows as blocked.

Billing shows what Cademí charges your platform and how. The screen is in your avatar menu. It has the license agreement, the billing details, the contracted plan, the cards and the invoices. Only administrators with billing permission see this screen.

The most important rule: almost everything here is read-only. You change only the cards. To change the billing details, contact Cademí support.

What is on the screen

The screen has five blocks, from top to bottom:

BlockWhat it showsWhat you do

Billing Information

These are the details of whoever pays for the platform: company or personal name, CPF or CNPJ (the Brazilian tax ID) and the billing contact. You do not edit these details in the dashboard. To correct one of them, contact Cademí support.

Your platform may be billed by another account. For example: a head office that pays for its branches. In that case, the block shows a single row, This platform is managed by, with the details of the paying account. The cards are also in that other account, not here.

My plan

Below the title is the plan's Key. It is the name Cademí uses to identify the plan. The rows:

  • Amount: the price and the billing period (monthly or yearly).
  • Students: up to the plan's student limit, or unlimited. It is the same limit as in Plan and student limit.
  • Smart Installment: on a yearly plan, the number of installments and the amount of each one.
  • Progressive Discount: on a plan with an increasing discount, the amount for each month, from the 1st onward.

An account with no contracted plan shows only Free. In a clone, the block does not appear: the plan is the source account's.

Cards

The Cards block appears only when both conditions are true:

  • you can manage the account's cards;
  • the account has a contracted plan and pays its own invoice.

Each card shows the brand, the last four digits, the cardholder's name and the expiry date (Expires). The card in use has the Default badge.

Add a card

  1. Click New Card.
  2. In Name on card, type the cardholder's name.
  3. In Number, type the card number.
  4. In Expiry, type the month and year in the MM/YY format.
  5. In CVC, type the code.
  6. Click Add.

If the card issuer declines the card, the message appears under the number field, with the reason. For example: incorrect number, expired card or invalid CVC.

Change the default card

  1. On the row of a card that is not the default, open the menu.
  2. Click Set as Default.

Delete a card

  1. On the row of a card that is not the default, open the menu.
  2. Click Delete card.
  3. Confirm. The screen asks: Do you want to remove the card ending in X?

Warning: this is where most mistakes happen. Marcos wants to remove the default card, but that row has no menu. The default card can never be deleted. To remove it, Marcos adds another card, sets the new one as default and then deletes the old one.

The account is also never left without a card. With a single card on file, the screen says Register a new card to remove this one.

If the list does not load, the screen says: We couldn't load your cards right now. Please try again shortly. With no card on file, it says No card on file.

Invoices

The list shows invoices from newest to oldest, six at a time. A button loads more. The block appears only when there are invoices, and only for those with permission to see them. The columns:

  • ID: the invoice number and its code.
  • Due date and Amount.
  • The payment detail:
    • on a paid invoice, Payment received with the charge reference or via PIX or bank transfer;
    • on an invoice with a problem, the reason. For example: Payment declined, insufficient funds.
  • Status: Open, Today, Overdue, Processing, Paid, Payment declined, Processing error, Cancelled or Refunded.
  • Open invoice: opens the invoice in another tab. There you see the details and pay.

Platform blocked

An invoice still open after its due date may block the platform. What each administrator sees depends on the billing permission:

  • With the permission: the dashboard takes you to this screen. It opens with the Platform blocked notice: You have an outstanding invoice. Settle the payment to use the platform again. Pay the invoice through Open invoice. The dashboard unblocks once the payment is confirmed.
  • Without the permission: you do not get to this screen. You see the Platform blocked screen with the note The platform is blocked due to a pending payment. Contact the platform administrator.

What else changes with an overdue payment is in Plan and student limit: the sales queue notice, API integrations and student sign-in.

Good to know

Who sees what.

Seeing the screen, seeing the invoices and managing the cards are separate permissions. An administrator may see the plan and not the invoices.

Cards are stored with the payment provider.

The dashboard shows only the brand, the last digits, the cardholder and the expiry date. That is enough for you to recognize each card.

Expired card.

The list shows the card with its past expiry date. Add the new card and set the new one as default. Then delete the old one.

In a clone.

Billing belongs to the source account. The My plan block does not appear and billing notices do not reach the clone.

Frequently asked questions

I need to change the CNPJ or the billing email. Where do I edit it?

You cannot edit it in the dashboard. Contact Cademí support and send the new details.

Where is the tax invoice?

Under Open invoice. On a paid invoice that has a tax invoice (nota fiscal), the invoice page offers its download.

The invoice is open, but I already paid.

The status changes to Paid once the payment is confirmed. If it does not change, contact Cademí support and give the invoice ID.

I cannot delete a card.

The default card and the account's only card can never be deleted. Add another card and set the new one as default. Then delete the old one.
