# Exports

> The list of files requested from the platform, such as the student export and a student's logs: the status of each one, how to download and how to delete.

Exports is the list of files you and your team asked the platform for, ready to download. You do not request a file here: it is requested on another screen and shows up in this list.

## What it is for

- **Download a file again.** The export stays in the list until someone deletes it.
- **See whether the file is ready.** The **Status** shows where it stands.
- **Delete data you no longer need.** A student export is a package of personal data.

The list is in **Reports > Exports**. It is the second tab of the **Reports** page.

## Where each file comes from

| From where | What it produces | How it shows in **File** |
|---|---|---|
| **Students > Students**, the **Export** button | The student list with the applied filters (the term search is left out) | **Students**; with a showcase or product filter, **Showcase N** or **Product N** |
| Student profile, **Logs** tab, the **Export logs** button | That student's activity log | **Student logs N** |
| An integration, through the API | Whatever the integration requested | The name the integration gave it |
| Cademí support | A file prepared at the account's request | **Published by Cademí support**, or the description support wrote |

## The list

Each row shows the **File** (the description and, below it, the file name), **Requested by**, **Requested on** and the **Status**:

| Status | What it means |
|---|---|
| **Queued** | The file was requested and waits its turn |
| **Processing** | The file is being generated |
| **Completed** | The file is ready to download |
| **Error** | Generation failed. Request it again on the originating screen |

While an export is **Queued** or **Processing**, the list refreshes itself every few seconds.

The list loads in blocks of 15. Click **Load more results** to see more.

### Actions

- **Download** downloads the file. Clicking the row does the same. The button only shows on **Completed**.
- **Delete export** asks for confirmation (**Are you sure you want to delete the export "..."?**) and removes the export from the list. There is no restore.

## Step by step

### Export the student list

1. Open **Students > Students**.
2. Apply the filters you want: product, showcase, tag, delivery, access.
3. Click **Export**. The **Export students** window shows how many filters are applied.
4. Click **Yes, export**.
5. Wait for **Generating file…** to change to **Export completed**.
6. Click **Download file**.

The same file sits in **Exports**. You or another administrator can download it later. What the file carries is in [Students](https://help.cademi.cloud/en/alunos/alunos.md).

### Export a student's logs

1. Open the student's profile.
2. Open the **Logs** tab.
3. Click **Export logs**.
4. Click **Yes, export**.
5. Download the file in the window itself.

You can also download it later, in **Exports**.

**Heads up: the student export opens the student area.** The file carries each student's auto login link. Anyone holding the file can enter the student area as any of them. Treat the file as sensitive data and delete the export when you are done.

## Good to know

- **The file does not expire.** It stays in **Exports** until someone deletes it. Delete what you no longer need: a student export is a package of personal data.
- **Who sees it.** Every administrator with access to **Reports** sees and downloads the account's exports, not only the one who requested. Nobody receives the file by email.
- **File format.** It is a spreadsheet (.xls). Always download through the list, with the **Download** button.
- **Export with an error.** On **Error**, the row stays in the list as a record. Request the export again on the originating screen.
